FAQ: NUSmail

1. What is Office 365 and why are we migrating to it?

Office 365 is a Microsoft hosted messaging solution that delivers the capabilities of Microsoft Outlook as a cloud-based service. This means your email services and data will be located in data centers owned and managed by Microsoft. It gives users a rich and familiar access to email, calendar and contacts allowing access by PC’s, Mac, the web and mobile devices. By utilizing this service, it removes NUS operational burden for an on-premises hosted email service.

2. How do I access Office 365 Mailbox from my computer or while on the move?

You can access your Office 365 email via http://outlook.com/nus.edu.sg.

3. Is there any change in mailbox size?

Good news, your mailbox size is now unlimited.

4. How to check my mailbox usage?

  • Log in to your Office 365 account with Office 365 OWA.
  • Click gear icon at the top-right corner of OWA window.
  • Select Mail under Your app settings.
  • Select My account under General. The mailbox usage of your mailbox will be shown

5. Is LargeMail still available in Office 365?

NUS LargeMail for email archival will no longer be required after the migration – no need for storing or restoring of your emails via the Enterprise Vault.

6. Do I need to reconfigure my Microsoft Outlook after the migration?

If you use Outlook, reconfiguration is not required. All you have to do is to restart your Outlook client. You must be using Outlook 2010, 2013 and 2016 for Windows, or Outlook 2011 and 2016 for Mac. Older versions will not work.

7. Would my existing friendly mail address be affected?

Do not worry, your friendly mail address will not be affected.

8. Would my existing email redirection be affected after the migration?

Your email redirection will continue to work after migration.

9. How can I change the email redirection in Office 365?

Follow the steps below:

    1. Log in to your account.
    2. Click the Mail tile.
    3. In the top right corner, click the gear icon (Settings).
    4. Under Your app settings, click Mail.
    5. In the left pane, under Options, click Accounts to expand the list, and select Forwarding.

      Important: If you don’t see the Forwarding option under Accounts, your account may not support email forwarding. Contact your email administrator.
    1. Select Start forwarding.
    2. Under Forward my email to:, enter the email address that you want your incoming Office 365 email to be forwarded. Check the Keep a copy of forwarded messages box to keep copies of your incoming email.
    3. Click Save, at the top of the screen.

11. Is there any change in the receiving and sending size limits?

No, The email sending and receiving size will remain at 25MB.

12. Is there any change in recipient limit?

You can send to a maximum of 500 recipients.

13. Can I still use my Secure Mail certificate to sign and encrypt emails in Office 365?

Yes, Secure mail will work on windows outlook client.

14. Will my outlook rules be affected after the migration?

No, Outlook rules will not be affected.

15. What data would be migrated to Office 365?

Everything in mailbox including email, calendar, contact and task.

16. Will my conversation history being affected?

No, Conversation history would not be affected.

17. How do I upload my photo to Office365?

18. Can I still share my outlook calendar and mailbox to others?

Yes, you can still share your outlook calendar and mailbox to others.

19. Do I need to reconfigure my email account for my mobile device?

Yes, Please refer to our guide here.

20. Do I need to reconfigure my email account for my email client such as Apple Mail, Thunderbird?

If you use Outlook, you must be using Outlook 2010, or 2013 (Windows) or Outlook 2011 (Mac). Older versions will not work.

If you use Mac Mail, versions for Leopard and above will work, but may require some reconfiguration.

If you use Entourage for the Mac, you will need to reconfigure Entourage to use either Web Services Edition or POP/IMAP. Note: we do not recommend using Microsoft Entourage as it is a discontinued product with numerous known problems.

If you use a mail client other than what is listed above, such as Thunderbird, or use one of the listed mail clients using POP or IMAP, they will work, but only after you have reconfigured them with new server information. Please note that if you choose to use POP or IMAP to connect, you will not be linked to the calendar and contacts on the server

21. I have previously configured NUSmail on my Gmail, do I need to modify any settings?

Office 365 will not work for Gmail.

22. Will I experience any data loss after migration?

No, all of your data will be migrated.

23. Do I get to keep my email account after I leave NUS?

No, your mailbox will be removed when you leave the University.

24. Do I need to back up my emails (including LargeMail) before the migration?

No, system will migrate everything for you.

25. Why do I encounter the error “:-( Something went wrong” when I log in to webmail?

26. Why am I encountering error messages on my email Client after the migration, such as “Your username/password or security settings may be incorrect”, “Your account is out of date”, “The Microsoft exchange administrator has made changes that require you to restart outlook”?

If you use Outlook, you must be using Outlook 2010 (limited support), or 2013 and 2016 (Windows) or Outlook 2011 (Mac). Older versions will not work.

If you use Mac Mail, versions for Leopard and above will work, but may require some reconfiguration.

27. How do I recover deleted mails?

On Outlook Web App. Click on Deleted items and click on Recover Deleted items on top of the menu. A pop up window will appear. Select the email you would like to recover with checkbox and click Recover.

28. Is it safe to have my emails on cloud ?

Yes, it is safe to have your emails in the Cloud.

29. I'm on a Mac. Why can't share my calendar with my colleagues?

There is a known issue with Outlook for Mac where granting someone Free/Busy or Limited Details access to your calendar will not allow the person you are sharing with to see any information on your calendar at all, including Free/Busy. Outlook for Mac users may grant reviewer permissions or higher to colleagues who need access to their calendar. Please refer to the instructions here.

30. How do I share my Office 365 calendar in an email?

There is a known issue with Outlook for Mac where granting someone Free/Busy or Limited Details access to your calendar will not allow the person you are sharing with to see any information on your calendar at all, including Free/Busy. Outlook for Mac users may grant reviewer permissions or higher to colleagues who need access to their calendar. Please refer to the instructions here.

31. Why is my Outlook slow after migration?

Please enable cache mode to improve the slowness issue. Click here for the steps.

32. Can I still search and use NUS distribution list?

Yes, DL can be found in GAL (Global Address List).

33. Can I continue to open my archived emails using the shortcuts in Outlook client? Is Enterprise Vault add-in still required?

You can still open your archived emails by double-clicking the shortcuts in Outlook with Enterprise Vault add-in installed. Only Outlook for Windows is supported.

34. How can I access my archived emails using Office 365 (via web browser) and mobile devices?

You can access your archived emails by clicking on the “View the Original Item” link in the email shortcut and login with nusstf\UserID and password.

35. Will the other Enterprise Vault functions, such as Restore, Store, Delete and Virtual Vault, still work?

These functions will not work anymore after the migration to Office 365.

36. How long can I continue to use the archived shortcuts to access my emails?

We will remove Enterprise Vault sometime in mid-2019. You can still access your archived emails which are imported to a “EmailsfromVault” folder in your mailbox.

37. Can I delete the archived shortcuts for housekeeping? What happen if I delete the archived shortcut?

Yes, you can delete the shortcuts for housekeeping purpose. However we suggest that you only delete them after the “EmailsfromVault” folder is available in your mailbox. After you delete, emails will still be available under “EmailsfromVault” folder in your mailbox.

38. Can I continue to open my previous archived calendar items?

Yes, you can. We will migrate your archived calendar items to your mailbox.

39. How can I find back my previous archived emails?

All of your previous archived emails will be in the folder “EmailsfromVault” with same email structure of your mailbox.

40. How do I upload my photo to Office365?

42. Is it safe to have my emails on cloud ?

Yes, We can assure you emails on Microsoft Office 365 are safe. Microsoft Office 365 service was independently verified to meet requirements specified in industrial standards including ISO 27001. Microsoft Office 365 standard agreement on compliance to data privacy stated that Microsoft will not use Customer Data and Content for Advertising and Voluntary Disclosure to Law Enforcement.
